How do I register for BGCVP’s After-School Program?

Registration for the After-School Program is completed online here.

To complete registration, please log in or create a Daxko account and register your child or children for your desired Club location. 

How do I find a Club location?

BGCVP has 10 Club locations across the Virginia Peninsula in Hampton, Newport News, Gloucester, James City County, and York.

What is the Club’s fee structure and when are fees due?

For After-School and Summer Programming, fees will begin at the start of the programming period. For example, fees for the upcoming After-School Program will not be charged until August 24th, which is also the first day of After-School Programming.  

Program fees are due before the start of each program week. Families can pay weekly or in advance.

After-School Program Only:  $25 per child, per week. 

Before-School Program Only: $15 per child, per week. 

Available only at the Orcutt, James River, and Hidenwood Clubs. 

Before- and After-School Program (Where Available): $35 per child, per week. 

Transportation: 

  • $10 per child, per week at the Citizens, Pinedale Manor, and Greater Hampton Roads Units. 
  • $20 per month at the Gloucester Unit. 

 Summer Camp: $75 per child, per week. 

Are scholarships available?

Yes. BGCVP is offering scholarship opportunities to help make afterschool programming accessible for families.

Depending on eligibility and available funding, scholarships may cover part or all of the weekly membership cost.

The scholarship application can be found here. To be eligible for a scholarship, your child must be a registered member of a Club. 

How do I apply for financial assistance?

Families requesting assistance should: 

  • Complete the required scholarship application here. 
  • Submit all requested documentation in a timely manner. 
  • Notify Club leadership as soon as financial hardship becomes known. 
  • Remain in communication while applications are being reviewed. 

Submitting an application does not automatically guarantee approval, so families are encouraged to apply as early as possible. 

Why does Boys & Girls Clubs of the Virginia Peninsula charge a weekly fee?

We understand that program fees can be a challenge for some families. At Boys & Girls Clubs of the Virginia Peninsula (BGCVP), our goal is to ensure that every young person has access to a safe, supportive, and high-quality Club experience, regardless of their family’s financial circumstances. 

Every dollar collected through program fees is reinvested directly into our Clubs to enhance the experience our members receive each day. Your investment helps us provide a safe, welcoming environment staffed by caring, highly trained youth development professionals who are dedicated to helping every child reach their full potential. 

Program fees help us: 

  • Recruit and retain exceptional youth development professionals.  
  • Maintain safe, clean, and well-equipped Club facilities.  
  • Provide nutritious meals and snacks.  
  • Expand academic support, STEM, arts, sports, recreation, and leadership programming.  
  • Invest in educational resources, technology, and program supplies.  
  • Maintain reliable transportation services where available.  
  • Create meaningful opportunities that prepare young people for success in school, their careers, and life.  

We never want cost to be a barrier to participation. Financial assistance is available for families who qualify. Scholarship information is available here. 

Are fees charged even if my child misses a few days?

Yes. Program fees reserve your child’s space and help cover staffing, transportation, meals, supplies, and operating expenses that continue regardless of daily attendance. 

Because these costs remain consistent, refunds, credits, or prorated fees generally cannot be provided for absences due to illness, vacations, school holidays, weather-related closures, suspensions, or other missed days unless approved by the Chief Operating Officer and/or the Membership Engagement Coordinator. 

What if I cannot afford the weekly fee?

Scholarships are available. Please contact your Club as soon as possible to discuss your options. 

We understand that financial situations change, and our goal is to work with families—not create barriers to participation. 

Financial assistance may be available through: 

  • Boys & Girls Clubs of the Virginia Peninsula scholarship opportunities. 
  • Temporary payment arrangements for families experiencing short-term financial hardship.

What happens if I miss a payment?

We believe families deserve every opportunity to resolve their account before any interruption in services occurs. The following notification process will be enacted prior to your account becoming delinquent. 

First Missed Payment 

  • Friendly reminder by phone, email, text message, or in person. 
  • Outstanding balance reviewed. 
  • Scholarship information provided if needed by BGCVP. 
  • Child continues participating. 

Second Missed Payment 

  • Formal written warning issued. 
  • Club leadership will make every reasonable effort to contact the parent or guardian. 
  • Financial assistance opportunities reviewed again. 
  • Child continues participating. 

Third Missed Payment 

  • Final written notice issued. 
  • Outstanding balance identified. 
  • Final payment deadline provided. 
  • Final opportunity to submit a completed scholarship application or establish an approved payment arrangement. 

Only after these three opportunities—and after every reasonable effort has been made to communicate with the family—may participation be suspended if payment has not been received and no approved financial assistance or payment arrangement has been established. 

Can I set up a payment arrangement?

YES. Families experiencing temporary financial hardship may request a payment arrangement. 

Payment arrangements: 

  • Must be requested by the parent or guardian. 
  • Must be approved by the Chief Operating Officer and/or the Membership Engagement Coordinator. 
  • Must be documented in writing. 
  • Must include an agreed-upon payment schedule. 
  • Must be followed according to the approved terms. 

Who can approve fee exceptions?

To ensure fairness and consistency throughout the organization, Unit Directors are not authorized to: 

  • Waive program fees. 
  • Forgive outstanding balances. 
  • Approve payment plans. 
  • Approve fee exceptions. 
  • Make financial commitments on behalf of BGCVP. 

Requests involving special financial circumstances must be approved by the Chief Operating Officer and/or the appropriate Area Director. 

What if I need to withdraw my child?

Families wishing to withdraw from before-school, after-school, or transportation services must provide at least two weeks’ written notice to their Unit Director. 

Because staffing, transportation routes, and enrollment are planned in advance, fees will continue during the two-week notice period. 

Will an outstanding balance affect future enrollment?

YES. 

Outstanding balances must be resolved before enrolling in: 

  • A new school year. 
  • Summer Camp. 
  • Transportation programs. 
  • Seasonal programs. 
  • Any other fee-based BGCVP program. 

Families may either pay the balance in full or establish an approved payment arrangement before re-enrolling. 

Will my child be removed from the Club if I cannot pay?

Our goal is to keep every child connected to the Club. We encourage families experiencing financial hardship to communicate with Club leadership immediately so scholarship opportunities, subsidy programs, or payment arrangements can be explored before an account becomes delinquent.  

Children will never be singled out, embarrassed, or denied participation during a program day because of an outstanding account balance. All conversations regarding fees or financial assistance are handled privately, respectfully, and confidentially with the parent or legal guardian.
